Decide who knows, and when

Confidential searches fail through informal disclosure far more often than through documents. Before the assignment begins, agree who inside the organisation is aware of it, what they may say if asked, and at which stage the circle widens.

Control the approach, not just the paperwork

Candidates are approached in confidence too. Their current employer, their team and the wider market should learn nothing from the process. That means named, direct contact rather than broad outreach, and disclosure of the hiring organisation only under agreed conditions.

Keep records proportionate

Confidentiality and data minimisation point in the same direction. Hold only the information the assessment requires, share it only with the people making the decision, and agree in advance how long it is retained after the appointment is made.
